SECRETARIAL ASSISTANT (M/F)

The purpose of the function

The Secretariat (m/f) fulfils an important function in our office.

You arrange many things and are the first and most important contact for employees and external relations. You are an all-rounder who tries to unburden managers and other colleagues as much as possible.

The secretariat ensures that everything in the office is present and runs like clockwork. He/she is responsible for the filling of the (total) secretariat.

Your main tasks at Less Grey:

  • Facilitated office work
  • Arranging appointments
  • Planning the work and keeping track of agendas
  • Taking care of business correspondence
  • Taking care of the archive and customer files (digital and paper)
  • Liaising with Less Grey's clients, suppliers and collaborative partners
The place in the organisation of the company

The Less Grey Group is a tax consultancy specializing in VAT advisory and compliance. The secretariat supports the two partners/directors of the Less Grey Group and is also supportive of the operational activities of the various Less Grey units.

Summary of activities
  • Handling incoming and outgoing communications
    You are the first point of contact and process incoming telephone calls, e-mail and post. You read outgoing correspondence and ensure that it is sent correctly, completely and on time.
  • Agenda management
    You manage the directors' diary and the general office diary.
  • Receiving guests
    You are the first point of contact for guests.
  • Organising meetings
    You organise meetings, such as a presentation, training or webinar, whether in the office, externally or online.
  • Administration and Archiving
    Create and manage standard documents, brochures, etc. and archive correspondence, customer data and compliance documentation, both paper and digital (in Teams).
  • Facility support and office management
    This includes stock management, but also maintaining contacts with and managing suppliers and service providers. You (also) determine the daily affairs at the office, such as organising internal meetings and arranging lunch.
  • Maintaining CRM system and Social Media
    You take care of recording and updating customer data. In addition, you think along with and support the Social Media strategy and content.
Desired experience, knowledge and skills
  • Minimum of MBO-4 work and thinking level.
  • Minimum 3 years of relevant work experience, within a smaller organisation.
  • Excellent command of the Dutch language in both word and writing and a good command of the English language.
  • Digital proficiency, specific MS Office (Word, Excel, PowerPoint) experience, preferably experience with MS Teams and working with a Mac computer.
  • Professional, representative and customer- and service-oriented basic attitude.

Terms of employment

Less Grey offers a competitive salary for this position. Your salary depends on your education, work experience and age.

As a guideline, a gross salary of EUR 2,200-2,500 per month (based on a 40-hour working week) can be assumed.

The position is for 16-24 hours per week, to be filled and possibly extended by mutual agreement. It is preferred that the Secretariat has a daily staff of at least 4 (half) days per week. Working hours are negotiable, and this position is therefore also very suitable for someone with school-aged children.

There is an opportunity to grow within the organisation, for example in the role of Office Manager, Project Manager, Facility Manager, or Operational Employee.
